Patron Services Manager

JOB SUMMARY: This position is responsible in supporting the organization with programs that meet or exceed attendance and ticket revenue goals and maximizing the visibility of the orchestra, consistent with organizational policies and long-range objectives. As such, the Patron Services Coordinator will plan and manage season subscriptions and renewal campaigns; all ticket sales (including box office management); resource development materials (annual fund solicitation materials, corporate sponsor materials); audience research; and new subscriber activities.

JOB DUTIES AND RESPONSIBILITIES:

Subscription Sales and Management

  • Oversee the acquisition of prospect lists for all direct mail as well as email database.
  • Plan and implement all aspects of season subscription and renewal campaigns
  • Plan and implement a year-round single tickets sales campaign. 
  • Develop group sales programs and other targeted ticket sales programs, monitor and report on results.
  • Develop pricing strategies and policies that fulfill revenue/attendance goals. 
  • Monitor the progress of all campaigns and provide progress reports and analyses of results.
  • Research and recommend any special ticketing policies (i.e., exchanges) and subscription series makeup.
  • Manage in-house box office and monitor outside ticket venue operations, ensuring friendly, courteous service and customer satisfaction in ticket transactions.
  • Provide periodic ticket sales reports as requested.
  • Maintain accuracy of Symphony website. 
  • Distribution of all campaign print materials as needed.
  • Develop solicitation activities for renewal campaign.
  • Oversee the planning and development of special public relations events and new subscriber activities.
  • Provide statistical and demographic information as requested.
  • Coordinate volunteers to participate in special events and campaigns.

Budget and Planning

  • Assist the CEO in establishing appropriate goals for the subscription campaign and other tickets sales campaigns.
  • Develop a plan for achieving those goals and establish a master calendar that outlines all campaigns and special events; coordinate all activities with the Symphony’s master calendar.
  • Develop budgets for each event and campaign; monitor the progress of each, and adjust plans when necessary.
  • Recommend coordinated packaging to achieve maximum sales.
  • Provide other reports and communications as requested.

Administrative

  • Negotiate contracts as needed with outside vendors for the provision of direct mail.
  • Oversee the development and maintenance of all tickets sales systems and records; ensure the accuracy of all ticket revenue reports; provide periodic progress reports as requested.
  • Work with CEO to establish a system of timely deposits, sales reports,  and ticket audits. 
  • Work with the CEO in packaging and solicitation of sponsorships and in-kind support for various product lines and campaigns; ensure that media exposure and acknowledgment promised to sponsors takes place.
  • Maintain grant filings in conjunction with the CEO.
  • Assist the CEO in implementing administrative and artistic policies established by the Board.

Patron Services

  • Maintain donor database and generate appropriate acknowledgements for gifts.
  • Communicate with ticket buyers, donors, and sponsors on an as needed basis.
  • Act as Symphony Concierge and assist with Patrons Society events.

Other

  • Attend all Symphony events and act as liaison to the patrons; and oversee distribution of tickets to VIPs.
  • Participate in artist hospitality as requested.
  • Assist in the Symphony’s community engagement efforts through the promotion of outreach events, disbursement of complimentary tickets, etc.
  • Perform other duties as assigned by the CEO.
